A payment gateway is technology that securely captures and transmits payment information between a merchant’s checkout and the relevant payment service. In a typical card transaction, several parties may be involved, including the customer, merchant, gateway, payment processor, acquiring bank, card network, and issuing bank. Some providers combine multiple roles into one service.
A simplified payment flow
- The customer enters payment details or selects a supported wallet.
- The checkout sends the payment request through the provider’s secure system.
- The transaction is routed for authorization, including checks by relevant financial institutions.
- The merchant receives an approval or decline response.
- Clearing and settlement occur according to the provider’s schedule and terms.
Authorization is not the same as settlement
An authorization response does not necessarily mean the funds have reached the merchant’s bank account. Settlement timing can depend on the payment method, risk reviews, business model, reserves, holidays, and provider rules.
What merchants should compare
- Transaction and currency-conversion fees.
- Supported countries, currencies, and payment methods.
- Settlement schedules and reserve policies.
- Chargeback procedures and evidence requirements.
- Refund handling, recurring billing, and subscription support.
- Integration options, uptime, and support response times.
Trust and compliance
A merchant should describe its products accurately, publish clear contact and refund information, fulfill orders, and retain appropriate evidence. Payment providers may request business documents and review a website before or after activation. Approval is never guaranteed by simply installing a plugin.
Security basics
Use supported integrations, keep plugins updated, limit admin access, protect credentials, and avoid storing card details unless you have the required compliant infrastructure. Use test mode before processing live transactions.
Read the provider’s current agreement and fee schedule before selecting a gateway. This guide is general information and not a promise of payment-provider approval.
